For best results, go to zoom.us and create an account if you do not have one already.
Also, make sure you get the latest version of Zoom to include all available features.
To access all features fully during the meeting, use the Zoom Application from a computer or mobile device.
If you don’t have access to a computer or mobile device, you may dial in from any telephone and listen to the meeting. However you may be limited in voting and viewing all information. A computer is recommended.
Download the app for your device BEFORE the meeting to get set up and test your settings. Downloads are available from https://zoom.us/download#client_4meeting or from the app store for your mobile device. It would be good to have this tested a few days before the meeting.
Zoom provides helpful tutorials here.
If you're having trouble, become friends with a child and they'll show you how! Seriously, if you have any questions, please send an email to firstname.lastname@example.org. Please get everything set up and tested before the meeting. Joe McCoy will likely not be able to answer during the meeting.
Zoom Procedures During the Meeting
CHANGE YOUR DISPLAY NAME
Please change your display name to show your name, TE, RE, or Observer, and Church or Ministry you're representing. To do this in Zoom, find your image in the Gallery of participants. Click on the three dots ... and select "Rename", type in your information and click the Rename button.
Meeting participants will be automatically MUTED as they enter the meeting. To minimize distractions, PLEASE REMAIN MUTED until the moderator recognizes you to speak.
SPEAKING AS A COMMISSIONER
So that the Moderator and other speakers may conduct business with minimum distractions, presbytery’s IT director, Joe McCoy, will be monitoring the meeting to gather questions and comments from commissioners. Commissioners may use either of two Zoom features to indicate their desire to speak—CHAT or RAISE HAND.
Please keep Chat comments to a minimum, so we don't miss any important comments from commissioners. To chat, click on the Chat icon at the bottom of the main screen to open the chat feature. Then you can type a message to EVERYONE or select a single individual. The default is to EVERYONE, so be careful what you type! Joe McCoy will be watching for questions, etc. Other participants may want to open the Chat window to see what questions and comments there are or to be ready to type in something themselves. But, please keep the Chat messages to pertinent questions and comments, so we're not overwhemed by messages.
When using Chat for a question, please identify yourself like you would from the floor of an in-person meeting—Name, Teaching Elder or Ruling Elder, and Church. (Commissioners only. Observers don't have voice or vote at meetings.)
RAISE YOUR HAND
To raise your hand in Zoom, you must first click on the Participants icon at the bottom of the main screen. Once in the Participants window, you can click on the Raise Hand icon. Joe McCoy will be watching for these as well. Other participants may want to have the Participants window open to be able to quickly raise their hand if needed.
We will use Zoom’s polling feature to record votes during the meeting. Polls will appear on the screen when the Moderator asks for a vote and you will have a few moments to respond. Click YES, NO or ABSTAIN for most votes. Then click on SUBMIT to cast your vote. (Commissioners only. Observers don't have voice or vote at meetings.)
If you have any questions, send an email to email@example.com or use the chat feature during the meeting.
